Today's Lesson: Auto-Email CPS Reports.

In the CPS POS Express product, you can have the system automatically email any report to any email address on a schedule you define.  Once set up, the report will be sent without any user intervention.  Note that this does NOT include StarterHut Tee Time reports.  StarterHut will support this feature in version 3.0 to be released late this year.

The first thing you need is a valid email address recipient.  To set this up, we define the person you are sending to as a Salesperson in the system (of course they do not have to actually be a salesperson).

GoTo Options (or press F2).  Drill down to Reference Tables - Sales Person:

If the person to whom you want to email is already in the list, then highlight and click the Edit link.  Otherwise, click the Add link in the top right.  Add the fields I have circled below and click SAVE.

You can repeat that process for anyone you want to receive reports via email.

Close Options and Go To Reports. Click on the Report Options button in the bottom left. Here I am setting up the Sales Report to run Daily and to Auto-Email at 11:59PM.

 Click the Email Setup button, Check Benny (or anyone you want to receive this report).

Click OK. That's it!

Now, you do have to have the ‘Club Prophet Systems email service Manager' running and configured on your server (the icon is a mailbox with a red flag in your windows system tray). Call our support desk if you need help with this. This report will now automatically run (daily in this case) and send a PDF copy to Benny's email every night at 11:59PM so it is in his email inbox in the morning for him. No more tracking down the shop staff to get a copy of the reports he needs.
