CPS in the FedEx Cup Finals...New Customer Statement Option...

...

Club Prophet Systems has been invited to participate in the BMW Championship at Cog Hill. Look for the CPS POS Express product running the Point of Sale stations at the FedEx Cup playoffs during the BMW Championship at Cog Hill, Sept 7-13.

Well, it's almost one year in the making but we have a great new Customer Statement report. The new report gives you the flexibility to range from very specific to very general descriptions of charges on the customer statement. In addition, the format is clean and easy to read.

Here is the scenario: I would like to have a customer statement print the line items based on different criteria. For some items, I want to see the actual Product Description, for others I would like to see a summary for the Sale Category, a summary for the GL Code Description or a summary for the Location where the product was sold. For example:

1. I sell a sleeve of ProV1 balls. I want to see the specific Product Description, "ProV1 balls", on the statement.
2. I sell an 18-hole weekend green fee. I want to see the Sale Category, "Green Fee", on the statement.
3. I sell a Caddy Fee. I want to see the General Ledger description, "Equipment/Facility Rentals", on the statement.
4. I sell several beers after the round. I want to see the Location, "Men's Grill", on the statement.

From Options, select Sales Options > Sales.

Select the Statement Display Option at the top of the screen.

Scroll down a bit if needed for the Use Location Code option and select it as well. Click Save.

We just turned on the ability for you to customize your statement for the requested scenario.

Next, let's set up the Locations you want to use for reporting. Why do this?? Maybe you do not want to point out on a member's monthly statement that Ms. Shirley Temple likes to pound 10 glasses of Scotch per day. So instead of listing "Dewers Scotch" on the statement, we simply show the location of where the Scotch was purchased. So now, the line item can say "Main Dining Room" or "Grill at the Turn", etc., instead of "Scotch". Locations are defined for and set by terminal, so you need to think about where the physical terminals are located and define Location Codes as you would like to see them on the statement.

To set up the Location Codes, click Tools > Options > Reference Tables > Location Codes:

By Adding a few Locations, I now have the ability to associate a POS Terminal with a Location.

To do this, click Tools > Options > Reference Tables > Terminal Information. This screen will list all the POS Terminals you have defined at your site. Select the Terminal to which you want to assign a Location Code and click Edit.

Using the Location dropdown, select the Location for this Terminal and click Save.

Now we need to set up the Sale Categories to define what option should be used to print on the statement when a product in that Category is sold. Click Tools > Options > Reference Tables > Sale Category.

You will need to Edit each Sale Category for which you want to set the Statement Display Option:

Here, I am telling the system that whenever I sell any item assigned to the Sale Category "Beer', I want to see on the Statement the Location that is assigned to that Terminal. For example, if I sell a beer at the half-way house for $5.00, the Statement should simply reflect "Halfway House - $5.00".

Note that the other options for each Sale Category are to print the Category Description, GL Account Description, Product Description as well as the Location. Set up each Sale Category as desired. For this example, I am going to set up the following:

Sales Category Display Option
Beer
Golf Balls
Green Fee
Caddy
Location
Description
Category
GL Acct

That completes the Settings. Let's run a sale:

I added an item from each Sale Category for the example above. Prior to this new feature, you had the option of seeing "SEE SALE NUMBER..." or showing the Sale Categories on the Customer Statement. Here is how the new Statement, "Customer Statement (Preprint)" looks:

Until Next time,

Enjoy :)
